Secretary to the Registrar - Tomball High School - School Year

Description:

Primary Purpose:

Assist the registrar/computer services coordinator in the supervision of staff and the management of the registrar/computer services office. Act as a liaison for the campus with the central office MIS Department for eSchool problem solving. Assume the dutiesof the registrar/computer services coordinator as needed.

Qualifications:

Minimum Education/Certification

High school diploma or equivalent

Minimum Experience:

Three years general clerical/secretarial experience with computer literacy

Two years experience in registrar/computer services coordinator's office or job related eSchool skills

Special Knowledge & Skills:

Typing proficiency by touch (60 WPM)

Ten-key keyboard proficiency

Microsoft Word proficiency

eSchool proficiency; all areas

Detail-oriented with good mathematical skills

Supervisory skills and leadership ability

Self motivated to work with minimal supervision

Strong public relations skills

Major Responsibilities & Duties:

  1. Project a caring, supportive attitude toward students to foster a desire in each student to achieve their highest potential.
  2. Maintain a positive working relationship with faculty, administrators, counselors and peers to nurture the mission of the campus.
  3. Communicate effectively with parents and the community to project a positive image that enhances the mission of the campus.
  4. Maintain a positive open line of communication with central office personnel to ensure the campus has the support needed to maintain and enhance technological capabilities.
  5. Provide support and awareness of district and community needs and take action to support them.
  6. Assist registrar/computer services coordinator in office management and supervision of staff.
  7. Assume registrar/computer services coordinator duties upon request from campus.
  8. Liaise with MIS department at central office to resolve eSchool problems.
  9. Collect and coordinate the data required for PEIMS submission by coordinating with administrators, counselor, department chairmen, teachers and paraprofessional staff.
  10. Complete the verification process for PEIMS submission with registrar/computer services coordinator.
  11. Coordinate the grade cycle submissions with principal, assistant principal, registrar/computer services coordinator and MIS department.
  12. Process grade corrections, generate the UIL eligibility roster for each grade cycle and generate reports.
  1. Cross-train and assist in the student entry/withdrawal process for the campus.
  2. Evaluate and process new student entrance grades. Evaluate and determine number of credits earned, convert alpha to numerical grade changes, if necessary, and distribute to teachers, counselors, etc. for recording in Gradebook and eSchool for report cards and transcripts.
  3. Generate all class ranks, including official rank, as established by campus guidelines and school board policy.
  4. Coordinate and assist in the verification process of class rank.
  5. Coordinate and assist in the entry of all grades and credits earned outside the regular classroom setting. (summer school grades, correspondence grades, credit by exam, credit for acceleration) and record in eSchool.
  6. Maintain a master schedule history file in building #9000 and #1 for transcript purposes.
  7. Maintain course equivalency file for PEIMS and transcripts.
  8. Evaluate and enter new student records and create a transcript record for each new student. This includes determining courses to receive credit, matching courses with state PEIMS number, and building records in the eSchool system to produce a printed transcript for each student.
  9. Send certified transcripts to students, colleges, employers, etc. upon request.
  10. Balance transcript and copy monies, receipt and submit deposits to bookkeeper.
  11. Verify senior transcripts, sign and stamp them to prepare them for colleges, employers and to retain as their permanent record.
  12. Cross-train with registrar/computer services coordinator and secretary/clerk.
  13. Answer questions of the general public and parents in regards to school policy, rules, curriculum, state requirements for public education, etc. as necessary.
  14. Present the district to new parents, students, and the general public in a positive manner, being always mindful of professional discretion.
  15. Attend computer seminars as permitted and demonstrate a willingness to serve on committees to promote the goals of the district or campus.
  16. Demonstrate a willingness to attend classes for extended training at a college or business school to increase and/or maintain skills to be effective in this position.
