Overview

Job Summary: The Sr. Corporate Services Admin primarily provides administrative support to Arions senior leaders, management team(s), and corporate functions. This role is secondarily responsible for planning, organizing, and executing employee engagement events, as well as supporting execution of large meetings and occasional industry meetings. This is a full-time role working in-office Tuesday - Thursday, with flexibility to work on Mondays and Fridays from home when applicable. This position reports directly to the Corporate Services Manager.

Responsibilities
  • Admin Support: Schedule appointments and maintain calendars; schedule and coordinate meetings; prepare and edit communications, such as letters, emails, reports and other documents and/or correspondence; manage space planning for new hires and coordinate internal office moves; reconcile credit card expenditures and assist with expense report submissions; provide backup support for access control and facility work order management; copying, digital filing, data entry, and other administrative tasks as assigned.
  • Engagement Event Support: Working with Corporate Services team and with guidance from Corporate Services Manager, brainstorm, research, plan, organize, and execute company engagement touchpoints and events; communicate with A-Team and management teams for event updates and milestones.
Qualifications
  • HS Diploma or GED required; Bachelors Degree preferred
  • 5+ years of progressive administrative work experience supporting management preferred
  • 2+ years of corporate event planning experience preferred
  • Excellent written and verbal communication, time management, and social awareness skills.
  • Attention to detail, critical and analytical thinking, and problem-solving capabilities.
  • Ability to work independently and be a team player
  • Ability to handle confidential material with discretion
  • Strong organizational skills with the ability to multi-task and prioritize work activities.
  • Proven ability to meet deadlines on multiple projects.
  • Ability to work cross-functionally with various team members at different levels of the organization.
  • Must be able to read, write, speak fluently and comprehend the English language.
Software
  • Advanced-level skills in core MS Office products (Word, Excel, PowerPoint, Teams) required
  • Comfortable working in MS SharePoint and Adobe Acrobat
Working Conditions
  • Work is primarily conducted in an office environment
  • This role does not require travel.
  • Arions Core Hours are 8a-4p, M-F.
Physical Requirements (With or without Reasonable Accommodation)
  • Able to lift and carry ten (10) pounds.
  • Sufficient clarity of speech and hearing or other communication capabilities which permits employee to communicate effectively.
  • Ability to sit for prolonged periods of time.
  • Ability to crawl under desks to hook up computer equipment and cables.
  • Sufficient vision or other powers of observation which permits employee to conduct analysis and investigations.
  • Sufficient manual dexterity which permits the employee to perform routine office duties.
  • Sufficient personal mobility and physical reflexes to perform office duties and travel when necessary, to off-site locations.
  • Must be able to wear safety equipment as required by the safety department for personal protection.
