Human Resources (HR) Intern

Description:

The HR Intern provides administrative and operational support to the Human Resources team, ensuring smooth execution of HR processes for both shoreside staff and vessel-based mariners. This role is responsible for maintaining accurate employee records, coordinating recruiting and onboarding, supporting compliance with U.S. Coast Guard (USCG), DOT, and other regulatory requirements. The HR Intern serves as a key point of contact for employees, ensuring confidentiality and professionalism while supporting the company's operational and cultural goals.

Essential Responsibilities:

  • Schedule interviews and maintain candidate communication.
  • Prepare offer letters, pre-employment screening packets, and ensure completion of background checks, physicals, and drug/alcohol testing in line with USCG/DOT requirements.
  • Conduct and support new hire orientation for mariners and shore staff, ensuring proper documentation and credential verification.
  • Maintain HRIS and personnel files, including mariner credentials, medical certificates, licenses, and training records.
  • Ensure company policies and procedures are communicated and consistently applied across both shoreside and vessel-based teams.
  • Serve as a point of contact for HR-related inquiries, escalating complex matters to HR Managers.
  • Assist in organizing employee recognition programs, training sessions, and cultural engagement initiatives.
  • Assist employees with benefits enrollment, changes, and questions regarding medical, retirement, and leave programs.
  • Coordinate with payroll to ensure timely processing of new hires, transfers, and terminations.
  • Perform other assignments as required.
Minimum Educational and Job Qualifications:
  • Pursuing a Bachelor's Degree in Human Resources or related field.
  • 0-2 years of HR, office administration, or related experience.
  • Basic understanding of HR functions and employment laws preferred; willingness to learn maritime-specific compliance requirements.
  • Proficiency in Microsoft Office Suite; experience with HRIS systems helpful.
  • Good organizational skills and attention to detail.
  • Ability to communicate effectively and provide customer service.
  • Confidentiality and professionalism.
  • Organization and time management.
  • Willingness to learn and work under close supervision.
Physical Capabilities:
  • This position will work in an office environment setting.
  • Ability to use general office equipment.
  • Prolonged periods of sitting at a desk and working on a computer.
  • Must be able to lift up to 15 pounds at times.
