Primary Responsibilities
- Prepare, generate, and process purchase orders (POs) for selected Museum departments, including:
- Preparing POs for approval
- Receiving goods and services in the accounting system
- Reviewing and validating PO invoices for payment
- Invoicing POs upon request and submitting invoices in a timely manner
- Prepare and process invoice journals for both PO and non-PO invoices on a daily basis.
- Monitor the Accounts Payable email inbox daily for incoming invoices, statements, and related correspondence.
- Respond promptly and professionally to invoice inquiries from internal departments and external vendors.
- May serve as a liaison between operating departments and the accounting team to resolve invoice, PO, and payment-related issues.
- Open and distribute incoming mail to appropriate departments.
- Scan and maintain records for all incoming invoices, manual payments (including wires, ACHs, and credit card transactions), and W-9 forms in designated folders.
- May assist with preparing and reviewing staff expense reports.
- May also coordinate insurance renewal data and assist with insurance claims as needed.
- Perform other duties as assigned.
Skills, Knowledge and Abilities: - Solid proficiency with Microsoft 365 Products
- Excellent communication skills, both oral and written, are essential
- KEY ~ Must be detail oriented, able to prioritize, and handle multiple tasks
- Able to work independently to meet deadlines
Education and Experience: - Degree or coursework in accounting
- At least two years in accounts payable, purchasing or general accounting experience, including journal entries through general ledger (non-profit experience preferred)
- Experience with Microsoft Dynamics AX or D365 is a plus

Classification: Non Exempt - Hourly
Schedule: 35-hour work week - 9 am to 5 pm

Work Location: Museum of Fine Arts, Houston
Working Conditions and Physical Demands Work will primarily be performed in an office environment. Work will involve extended sitting, and extensive computer use. The MFAH provides a generous schedule for time off under the following benefit categories:
