Operations Assistant | Houston, TX

A well-established brokerage firm is seeking a bilingual front office and operations associate to support various departments with administrative and operational tasks.

Responsibilities:

Manage the front desk, ensuring a professional and welcoming environment

Welcome and greet guests, providing assistance and guidance as needed

Handle all incoming calls, directing them to the appropriate person or department

Receive and organize incoming letters and packages, distributing them to the relevant departments

Prepare outgoing mail, including drafting correspondence and ensuring parcels are securely packaged

Maintain updated records and files, ensuring easy access to necessary information

Coordinate and schedule meetings and conference rooms as required

Aid in the maintenance of client accounts, including managing travel notes, tax certifications, tax reversals, online access, and tracking incoming wires

Generate forms and assist in loan processing tasks

Undertake ad hoc operational duties as assigned

Requirements:

Entry-level candidates or those with 1 year of relevant experience

Fluency in Spanish, both written and verbal

Strong communication and interpersonal skills, with a focus on customer service

Proficiency in Microsoft Office Suite, Outlook, Adobe Acrobat, and Docusign

Effective problem-solving abilities and capability to manage multiple tasks

Tech-savvy with the capacity to adapt to new platforms and proprietary software

Ability to navigate complex and challenging situations confidently
