Corrective Action Program (CAP) Administrator

Position Summary:

The Corrective Action Program (CAP) Administrator provides administrative, coordination, and data management support for the organization's Corrective Action Program. This role ensures accurate documentation, timely processing, tracking, and reporting of issues, corrective actions, and associated records. The CAP Administrator supports program consistency, regulatory compliance, and effective communication across departments while enabling the successful execution of corrective action activities.

Duties and Responsibilities:

  • CAP Administration & Coordination
    1. Administer day-to-day activities of the Corrective Action Program in accordance with established procedures and regulatory requirements.
    2. Ensure issues, nonconformances, and action items are properly entered, categorized, and maintained in the CAP tracking system.
    3. Monitor corrective action due dates and follow up with action owners to ensure timely completion.
    4. Support issue screening, prioritization, and workflow routing.
  • Documentation & Records Management
    1. Maintain accurate, complete, and traceable CAP records, including issue descriptions, evaluations, corrective actions, and closures.
    2. Ensure documentation quality meets internal standards and external regulatory or audit requirements.
    3. Control CAP records in accordance with records retention policies.
  • Reporting & Metrics
    1. Generate routine and ad-hoc CAP reports, dashboards, and performance metrics.
    2. Track key indicators such as backlog, aging, overdue actions, and closure effectiveness.
    3. Support trend analysis and data reviews for management and CAP review meetings.
  • Support to Management & Review Boards
    1. Prepare materials for CAP review boards, issue screening committees, and management meetings.
    2. Track meeting actions, decisions, and follow-up items.
    3. Assist the CAP Manager with program reviews and continuous improvement initiatives.
  • Compliance & Audit Support
    1. Support internal audits, external audits, and regulatory inspections related to CAP activities.
    2. Provide requested documentation, data, and evidence in a timely and organized manner.
    3. Assist with CAP self-assessments and readiness activities.
  • Training & User Support
    1. Provide guidance to employees on CAP system use, documentation expectations, and basic CAP process requirements.
    2. Support CAP training sessions and onboarding activities.
    3. Act as a point of contact for CAP system or process questions.


Qualifications:
  • Associate's or Bachelor's degree in Business, Quality, Engineering, or a related field (or equivalent experience).
  • 2-5 years of experience in administrative, quality, compliance, or records management roles.
  • Experience working with databases, issue tracking systems, or quality management systems (QMS).
  • Experience supporting a formal Corrective Action or Quality Management Program.
  • Familiarity with root cause analysis and corrective action concepts.
  • Experience in a regulated or compliance-driven environment.
  • Knowledge of CAP or QMS software tools.
  • Skills:
