Supervisor of Member and Guest Services

Essential Functions include but not limited to the following:

Supervisor has tasks listed below & standard duties of Receptionist/ Member & Guest Services Rep:

  • Assisting mgt with training new staff members in the outlined job duties below; if/when duties are changed or added.
  • Provide continued staff support
  • Overseeing tasks and staff, ensuring smooth and efficient office operations
  • Will focus on “room blocks” for BWYCC Villas. This includes but is not limited to; tours, inquiries, maintaining the reservation files and all communication with the guest/host.
  • Assisting mgt with marketing; attending open houses, building rapport and maintaining relationships with local venues and preferred vendors.
  • Assist with closing out of work orders in a timely manner, inclusive of follow-ups and updates.
  • Assist with villa walk-throughs weekly
  • Greet all members and guests and make them feel welcome.
  • Answers telephones and routes calls to appropriate departments.
  • Receives and delivers messages for members, guests and other employees.
  • Copy and/or fax items for members, guests and other departments.
  • Confirms reservations for: Villas, Special Events, & Dining
  • Responsible for checking guests in and out of Villas
  • Receives payments for stays in Villas and member statements.
  • Maintain Villa occupancy report
  • Complete daily night audit reports.
  • Maintains supply of guest check-in packages.
  • Responsible for folding, stuffing and mailing monthly member statements.
  • Post and mail all outgoing mail for both club and member.
  • Dispatch maintenance, housekeeping and other departments to areas as needed.
  • Provide information on activities and special events to members and guests.
  • Distribute office supplies to all departments.
  • Prepare labels for mailings.
  • Prepare name tags for activities that require them.
  • Assist members and guests with special needs/requests in the Villas.
