Administrative Assistant

This position reports to the Vice President (VP) of Customer Fuels organization and provides high-level administrative and coordination support to the VP and leadership team. The position requires exceptional independence, initiative, discretion, accuracy, adaptability, and confidentiality.

Job Responsibilities

Job responsibilities for this position may include but are not limited to:

  • Manage the VP's complex calendar, scheduling and coordinating meetings and special events.
  • Coordinate extensive domestic and international travel, including preparing detailed itineraries, on the ground logistics, and required travel documents.
  • Prepare background materials for all meetings and trips.
  • Manage expense tracking and reporting with high level of accuracy and promptness.
Office Support & Coordination
  • Perform full administrative support for assigned VP and leadership team members as needed.
  • Monitor VP's inbox, drafts correspondence, agendas and/or short presentations, and generates reports.
  • Monitor and meet deadlines, ensuring prompt handling of requests and action items.
  • Maintain strong communication with internal leaders, support staff, and external partners.
  • Build and sustain networks across Chevron and external organizations.
  • Use current tools and leverage technology (Teams, Copilot, PowerBi, etc.) to complete tasks.
  • Coordinates office moves and on/off boarding activities for employees.
  • Serve as backup for other administrative/sales assistants and support special projects.
Administration
  • Manage SharePoint sites, central repositories, distribution lists and communication channels.
  • Support ticket administration for special events or customer programs.
Required Qualifications
  • HS Degree or equivalent
  • Minimum of 5 years of administrative experience, preferably at a senior level.
  • Demonstrated proficiency in the Microsoft Office Suite (Word, PowerPoint, Excel and Outlook) and SharePoint.
  • High level of confidentiality, initiative, independence, and follow through.
  • Strong communication skills. Ability to communicate clearly and professionally both internally and externally in a clear, concise and effective manner.
  • Strong ability to plan, prioritize, multitask responsibilities based on business needs, and meet deadlines.
  • Ability to think critically and approach work proactively to maintain high level of service and accomplishment.
Preferred Qualifications:
  • Bachelors degrees
  • Chevron experience desired.
  • Ability to interface effectively with all levels of a diverse workforce.
  • Event planning/ project management experience.
  • Must effectively demonstrate the Chevron Way Values.

Relocation Options: Relocation will not be considered.

International Considerations: Expatriate assignments will not be considered.
