As the first point of contact for clients, guests, employees, and candidates, the Receptionist at the Client | Greenhill will warmly and professionally greet each visitor while providing ongoing support to Banking Americas.

Key Responsibilities

Meet & Greet Visitors

  • Welcome individuals with a hospitable demeanor
  • Notify host(s) of arrivals and maintain the visitor log
  • Escort guests to reserved conference rooms when needed
  • Offer refreshments (water, coffee, tea)
  • Gain knowledge of the client | Greenhill organization, including names and locations of key members of senior leadership (C?Suite and Division Heads) and their respective Executive Assistants

Manage Conference Center Reservations & Logistics

  • Maintain proficiency in all conference room names, seating capacity, and specific locations
  • Oversee client-facing conference room bookings with sound judgment
  • Collaborate with administrative staff on catering needs and follow up with vendors
  • Ensure general cleanliness and a tidy appearance of conference rooms
  • Act as a liaison with Banking Americas, security, facilities, IT, multimedia, and mail services

Administrative & Office Support

  • Support the administrative team and provide backup support as necessary
  • Assist with overflow of travel and expense processing using the firms approved system (SAP Concur)
  • Create and edit Excel spreadsheets for office use
  • Receive mail, sign for packages, and manage requests for messenger services
  • Assist with office supply inventory

Requirements
  • Minimum of 5 years of administrative experience (financial services preferred)
  • Consistently maintain a positive and professional attitude
  • Experience with SAP Concur for travel and expense report processing preferred
  • Adaptable to change with strong conflict resolution skills
  • Proficient in Microsoft Word, Excel, and Outlook
  • Exceptional interpersonal and written/verbal communication skills
  • Strong multitasking and prioritization abilities in a dynamic environment
  • Detail-oriented and highly organized
  • Team player with a collaborative spirit

Education Requirement
  • Minimum High School Diploma
