Human Landing System Crew Compartment Office Administrative Assistant
The purpose/function of this position is to perform and coordinate project administrative tasks for the Human Landing System (HLS) Crew Compartment Office (CrewCo) within the Exploration Development Integration (EDI) Office at JSC. Tasks include coordination of calendars to ensure CrewCo engagement in HLS events, coordination of meeting logistics and notices, taking technical meeting minutes, managing Sharepoint team pages/content, recording and coordinating minutes and actions, and general team records keeping. The person will work at Johnson Space Center with a large team of System Engineering and Integration (SE&I) personnel across multiple NASA centers in a hybrid virtual environment.
Responsibilities include:
- Coordination of meeting calendars and associated CrewCo participation, including tracking new events, tracking team member participation in meetings and developing look ahead team information
- Coordinating, setting up and assisting to run meetings with mixed in-person and virtual attendance, including meeting notices and coordination of availability
- Participating in meetings and reviews to record and maintain technical minutes and document actions
- Coordinating CrewCo forums through agenda coordination, presenter coordination, track topics and secure/protect presentation materials
- Organizing, updating and maintaining team Sharepoint pages and associated data
- Managing/organizing record keeping for team, including data access requests, weekly activity reports and travel logistics
- Participating in team meetings, status work progress and providing inputs for team success
- Assisting in PowerPoint chart package development and document editing
Education/Experience:
- Required: A high school diploma, minimum of 4 years experience in administrative tasks, experience working with multiple stakeholders simultaneously and multi-task assignments, Must Reside in a HUBZone
- Desired: Experience with NASA and/or NASA procedures and processes, NASA meetings and milestone reviews, Experience supporting a technical engineering team, Team SharePoint pages/site management experience
Skills/Training:
- Required: Well-developed skills in both written and verbal communication, Self-motivated and proactive ability to learn on the job, Experience in taking notes and assisting in development of presentations for other people, Ability to set up teleconferences and video conferences, Ability to work within a team environment, where the team is distributed across multiple NASA centers, Ability to identify concerns and gaps in information and communicate concerns to leadership in a diplomatic manner, Ability to work and communicate with multiple people for various purposes in parallel, such as captured actions and minutes while navigating required meeting tools in meetings
Experience in Microsoft Office (Excel, Word, PowerPoint, Outlook, Teams)
