JOB DESCRIPTION:
Maintain the District's position control operations to maintain effective staffing and fiscal integrity. Advise District leadership on position budgeting, data management, and position reconciliation processes.
DUTIES and RESPONSIBILITIES:

  1. Support campus administration in the identification of allocations and campus staffing.
  2. Create, modify, and remove obsolete positions and maintain accurate vacancy reports.
  3. Assist in the integration of position control systems by developing processes to ensure data accuracy, budget alignment, proper position approval, and reconciling FTEs monthly.
  4. Manage data for ongoing employment separations, allocation requests, and new hires.
  5. Oversee and direct the budget portion of the position control system.
  6. Enter budget codes in e-Finance ensuring all creations, reclassifications, and abolishments meet District financial management guidelines.
  7. Research and correct budget discrepancies with position coding and encumbrances.
  8. Ensure the integrity and accuracy of the Position Control system.
  9. Maintain updated position control information for use in budget development.
  10. Work with Finance staff on position coding corrections and budget reallocations.
  11. Assist in year-end closing functions involving position control.
  12. Organize and implement the activities and operation of position control to ensure records are maintained in an accurate and timely manner.
  13. Participate in the processing, auditing, maintenance, and completion of position control reports and related documents.
  14. Document position control procedures and transactions and explain them to auditors, as required.
  15. Maintain confidentiality in compiling data for position control, budgets, and other related data.
  16. Perform other duties as assigned.
EXPERIENCE:
  • Experience with business operations or position management and planning
  • Experience with professional accounting or budgeting, Human Resources, compensation administration, reorganization, and job analysis
QUALIFICATIONS:
Education/Certification:
  • Bachelor's degree in Business, Finance, Accounting, or related degree
Special Knowledge/Skills:
  • Demonstrate proficiency in accounting
  • Knowledge and understanding of various funding sources and account structure
  • Ability to develop and maintain spreadsheets, databases, and reports
  • Excellent organizational skills
  • Excellent oral and written communication skills with an emphasis on the ability to communicate financial information with personnel at all levels
  • Exceptional analytical and problem-solving skills
  • Ability to evaluate, maintain, and analyze financial reports and statements

PAY GRADE: AB-2 - Minimum pro-rated salary - $64,344
