Mail Services Associate
Position Summary:
The Mail Services Associate is responsible for the efficient handling, sorting, and distribution of all incoming and outgoing mail and packages. This position plays a key role in maintaining timely, accurate, and secure delivery of correspondence and materials throughout the organization, while providing exceptional customer service and support to internal staff.
Main Duties and Responsibilities:
Sort and distribute all incoming mail, ensuring items are routed to the correct location.
Prepare and process outgoing mail and packages, including interoffice and external deliveries.
Receive, log, and track FedEx, UPS, and other courier packages accurately.
Perform two interoffice mail runs per day between designated buildings.
Manage and maintain postage meter and related mailing equipment.
Keep accurate records of package logs and delivery confirmations.
Cover the receptionist desk during lunch breaks or emergencies as needed.
Maintain a clean and organized mail area.
Complete all required training sessions and comply with company procedures.
Perform additional duties as assigned by the Supervisor or Manager.
Qualifications and Requirements:
Reliable transportation and excellent attendance required.
Minimum 1 year of experience in an office, mailroom, or customer service environment.
1–3 years of experience using Microsoft Office (Word, Excel, Outlook).
Strong organizational and time management skills with the ability to handle multiple priorities.
Excellent verbal communication and phone etiquette.
Strong customer service orientation and professional demeanor.
Demonstrated reliability, initiative, and ability to work independently or as part of a team.
Proven ability to remain calm and effective under pressure.
Sound judgment and problem-solving skills.
Ability to handle confidential and sensitive materials appropriately.
Must be flexible and adaptable to an ever-changing work environment.
Must be able to lift up to 50 lbs.
